IncidentRoom Terms of Service

Version 1. Effective October 9, 2026. Beacon North Technologies Ltd., Nova Scotia, Canada.

These terms apply to every purchase and use of IncidentRoom, a platform for cyber incident response tabletop exercises provided by Beacon North Technologies Ltd. ("Beacon North", "we"). By buying a pack or using the platform, your organization ("you") agrees to them. People who author scenarios on the platform also accept the separate Authoring Terms when they sign in.

1. What you are buying

A pack is a fixed number of exercise credits for your organization, valid for a set period from the date of purchase:

Bronze: one exercise plus one re-check of the same scenario, valid 90 days.

Silver: four exercises, four different scenarios, valid 12 months.

Gold: eight exercises, eight different scenarios, valid 12 months.

Platinum: scope, price and term agreed in writing with Beacon North.

One credit is used each time your organization starts a scored team exercise. A re-check is a second run of a scenario your organization has already completed on the platform, within the Bronze validity period. Silver and Gold packs do not include re-checks. Beacon North may grant additional credits at its discretion.

Your whole organization may take part in an exercise. There are no per-participant fees.

2. Validity and expiry

Credits expire at the end of the pack's validity period and are not carried forward, extended or refunded if unused. An exercise scheduled before the expiry date may be run up to 30 days after it. Credits belong to the purchasing organization and cannot be transferred to another organization.

3. All purchases are final

All purchases are final. Packs are non-refundable once purchased, including packs with unused credits. Beacon North may, at its sole discretion, refund a purchase made in error, such as a duplicate purchase; if it does, the pack's credits are withdrawn. If a card payment is disputed, the pack's credits are suspended until the dispute is resolved, and are withdrawn if the dispute is decided against the purchase.

4. Prices, currency and tax

Prices are set in Canadian dollars. Buyers outside Canada may see and pay the equivalent in their local currency at checkout, converted by our payment provider at the rate applied at the time of purchase. Prices exclude taxes. Applicable taxes are calculated at checkout from your billing address and shown before you pay. Beacon North's GST/HST registration number appears on your receipt. You are responsible for any taxes that apply in your own jurisdiction on purchases from a Canadian supplier.

5. Accounts and access

Checkout creates an organization account and a facilitator account for the person named at purchase, who receives a link to set a password. You are responsible for who you give access to and for what they do on the platform. Participants join exercises by browser with a join code issued by your facilitator. Do not share join codes outside your organization or with observers you have not approved.

6. What an exercise is, and what it is not

Every scenario on the platform is synthetic. The systems, accounts, people, messages and events in a scenario are invented for training and do not describe any real organization or incident. The exercise scores the quality of the decisions your team commits against rules written before the exercise runs.

The score, the after-action report and the exercise evidence record describe what happened in the exercise. They are evidence that an exercise was conducted and documented. They are not a certification, an audit, an assessment of your organization, or a statement that you comply with any law, regulation or standard. Participant certificates record attendance and time in the exercise; they are not a professional credential and do not describe individual performance. Beacon North does not provide legal, regulatory or security advice through the platform.

7. Your content

If you upload material to the platform, for example an incident response plan for a custom exercise, you keep ownership of it. You give Beacon North permission to use it only to provide the service you bought. Client data is stored on servers in Canada. You confirm that you have the right to upload what you upload and that it contains no personal information beyond what is needed for the service.

8. Acceptable use

You may not use the platform to attack, test or probe any system other than the platform itself as designed; to share or resell scenarios, reports or credits outside your organization; to run exercises for other organizations unless you hold a partner agreement with Beacon North; or to attempt to copy, extract or reverse engineer the platform or its scenario library.

9. Availability and changes

We aim to keep the platform available at all times but do not guarantee uninterrupted service. We may change features, scenarios, prices and these terms. Changes to prices apply to new purchases only. Changes to these terms take effect when published; if a change materially reduces what your pack includes during its validity period, you may ask us to resolve it, and we will.

10. Limitation of liability

To the extent permitted by law, Beacon North's total liability for any claim arising from a purchase or from use of the platform is limited to the amount you paid for the pack concerned. Beacon North is not liable for indirect, consequential or special losses, including losses arising from decisions your organization makes in a real incident, whether or not informed by an exercise.

11. Termination

We may suspend or close an account that breaches these terms. You may close your account at any time; unused credits are not refunded on closure.

12. Governing law

These terms are governed by the laws of Nova Scotia and the federal laws of Canada applicable there. Courts in Nova Scotia have jurisdiction over any dispute.
